NAME: Family Fun Day at Sydney Showgrounds
TYPE: Special event
CLIENT: Food distribution company
PAX: 450 adults, 300 children
BUDGET: TOP SECRET

WHAT YOU DID: Being in the food industry, the menu was an important factor for the client and so we went to special effort to design a custom menu which included chicken sausage in crusty bread, teriyaki beef minute steak with onions and lentil and chickpea burger. Considered big eaters, it was important to get the cuisine selection right.

SPECIAL TOUCHES: Entertainment is always important for family fun days and as such we organised a great selection of things to keep everyone amused. The list included a jumping castle, giant slide, Ferris wheel, face painters, tattoo artists, clowns, DJ and even Santa stopped by. Suiting the carnival theme, fairy floss and popcorn machines were arranged.

To make it easier for guests to get to the event, a mini-van was hired to transport guests from the parking station.

Everyone left with smiles on their faces and a gift bag as a memento of the day.

CHALLENGES: One of the challenges was the custom menu and its numerous amendments. As the client was from the food and beverage industry they requested to bring their own beverages, which is usually against the policy of our venue. However, we worked with the client to allow them do to this which meant delivery of beverages prior to the big day, to make sure everything was chilled and ready to go.

OVERCOMING CHALLENGES: Communication was important, especially when it came to the custom menu. As we have our own F&B team and chefs it makes it much easier to custom menus depending on the client expectations and budget.

CLIENT’S COMMENT:

“The event went exceptionally well and that’s why we’re coming back again in 2008.”
